A medical site where the staff can actually manage everything on their own
The Challenge
Dr. Xavier Sanchez Garcia is a plastic surgeon who needed a site that could actually work for his practice. The previous site was static, and every change required a developer. His staff was spending hours answering the same questions that patients could easily find online. He needed procedure pages that looked professional, appointment booking for both virtual and in-person consultations, CRM integration for patient management, and a way for his team to update content without calling me every time.
What I Built
ACF Pro with Custom Post Types
I set up procedure pages as a Custom Post Type with ACF fields for sections, galleries, and FAQs. The staff edits structured fields and the theme handles the presentation. For me, the goal was making it so they could update content without touching any code, and that’s exactly how it works.
Dual Booking System
The practice does both virtual and in-person consultations, so I built two separate booking flows. Each one is optimized for its context, giving patients a clear path to the type of consultation they need.
AI Chatbot
I built an AI-powered chatbot trained on the practice’s FAQ content. It answers common patient questions and can take requests to connect with the doctor directly. Pretty much handles a lot of the repetitive questions that were eating up staff time.
Video Tutorials for the Team
I recorded video tutorials for the team explaining how everything works, from updating procedure pages to managing appointments. I did this proactively because I feel like a good handoff is what makes or breaks a project. The team needs to feel confident with the system after I’m gone.
Results
- ~100 consistent monthly visits as of 2026
- Patients trust the practice more through the professional presentation
- CRM integration keeps operations running smoothly
- The chatbot handles a lot of the repetitive questions
- Staff can make updates on their own, which was the whole point
